Welcome to Cool Beans Coffee Cart! These Terms & Conditions ("Terms") apply to your use of coolbeanscoffeecart.com (the "Site") and to bookings of our mobile coffee catering services. By using the Site or booking with us, you agree to these Terms. We may update these Terms from time to time; the effective date above reflects the latest version.
1. Our Services
Cool Beans Coffee Cart provides mobile coffee cart catering, including espresso drinks, teas, and specialty beverages for weddings, corporate events, and private gatherings throughout the Greater Houston Area.
2. Quotes, Bookings & Payment
Quote requests submitted through the Site are not confirmed bookings. A booking is confirmed only once we have agreed on the details in writing and the required deposit has been received.
A 30% non refundable deposit is due at the signing of the service agreement to secure the event date. The remaining balance is due no later than 10 days before the event.
Acceptable payment methods include cash, card, Zelle, or Venmo. Events booked with 5 or fewer days notice are subject to a 15% charge.
A $30 late fee will apply for each day the balance remains unpaid after the balance due date.
3. Cancellations & Rescheduling
The Client must provide at least 7 days notice of cancellation to receive a 50% refund. If cancellation notice is provided less than 7 days before the event, no refund will be given.
The Vendor reserves the right to cancel services at its discretion, including circumstances beyond its control such as severe weather or venue restrictions. In such cases, the Vendor may issue a partial refund or no refund at its sole discretion.
Cool Beans Coffee Cart requires a working elevator for events located above the first floor. If a working elevator is not available, the event will be cancelled.
Neither party is responsible for failure to perform caused by events beyond their control, including natural disasters, government actions, or pandemics.
4. Client Responsibilities
The Client agrees to provide sufficient space for cart setup, with a minimum area of 6 feet by 6 feet, access to electricity consisting of 2 separate 15 amp circuits with a maximum of 1,800 watts, and confirmed access for vendor parking and unloading.
The Client is also responsible for providing appropriate venue permits when required, with such permits provided by the Vendor upon request.
5. Email Updates
If you opt in to hear about Cool Beans events and pop ups, we'll occasionally email you about upcoming appearances and offers. You can unsubscribe at any time using the link in any marketing email. We promise not to spam you.
6. Cookies, Analytics & Advertising
The Site uses cookies, browser storage, and similar technologies for preferences, security, analytics, and advertising measurement. Non-essential analytics and advertising storage is controlled by the consent banner. See the Privacy Policy below for details and choices.
7. Site Content
All content on the Site, including text, photos, logos, and design, belongs to Cool Beans Coffee Cart or its licensors and may not be copied or used commercially without permission. Site content is provided for general information and may change without notice.
8. Liability & Insurance
The Vendor has general liability insurance. The Client agrees to protect the Vendor from any claims caused by the Client's negligence or failure to meet their responsibilities.
To the fullest extent permitted by law, Cool Beans Coffee Cart is not liable for indirect, incidental, or consequential damages arising from use of the Site or our services. Our total liability for any claim relating to a booking is limited to the amount paid for that booking.
9. Governing Law
These Terms are governed by and construed in accordance with the laws of the State of Texas.
10. Entire Agreement
These Terms and the applicable service agreement constitute the agreement between the parties and supersede all prior discussions and agreements, whether oral or written.

12. 2026 Promotional Offer
The 20% promotional discount applies to all Cool Beans Coffee Cart service packages. An event qualifies when the booking details have been agreed to in writing and the required deposit is received no later than 11:59 p.m. Central Time on September 10, 2026. Submitting a quote request alone does not qualify as a booking or secure the discount.
If a qualifying event is later rescheduled or rebooked for a different date, the discount continues to apply to the moved event, subject to date availability and the other terms of the applicable service agreement.
Privacy Policy

This Privacy Policy explains how Cool Beans Coffee Cart ("Cool Beans," "we," "us," or "our") collects, uses, and discloses personal information when you visit coolbeanscoffeecart.com, request a quote, book an event, communicate with us, or opt in to marketing messages.
Information We Collect
Information you provide may include your name, email address, event date and time, guest count, event type, venue or location, package interest, event details, marketing preference, communications with us, and booking or payment-status records. Payment providers process payment credentials; the Site does not ask you to submit full card numbers. Please do not place Social Security numbers, financial account numbers, health information, or other sensitive personal information in the quote form.
When you use the Site, we and our service providers may process technical and activity information such as your IP address, approximate location derived from IP, browser and device type, pages viewed, referral or campaign information, interactions with the Site, cookie-consent choice, and bot-verification signals. The Site does not request your device's precise location.
How We Use Information
We use personal information to respond to quote requests; prepare proposals; book, provide, and support event services; communicate about an event; process and document transactions; honor marketing choices; operate, secure, and improve the Site; detect spam or misuse; measure Site and advertising performance when permitted by your consent choice; comply with law; and establish or defend legal claims.
How We Disclose Information
We do not sell personal information. We disclose information only as reasonably needed to operate the business and provide requested services. Recipients may include Cloudflare for hosting, security, Turnstile bot verification, and Zaraz tag management; Google for analytics and advertising services when permitted by your consent choice; Resend for delivery of quote-request emails; payment providers you choose for a transaction; and professional advisers or authorities when reasonably necessary to comply with law, protect rights and safety, or complete a business reorganization. These providers may process information under their own terms and privacy notices.
Cookies, Analytics & Advertising
The Site uses browser storage and similar technologies for essential preferences, security, analytics, and advertising measurement. The consent banner starts optional analytics and advertising storage in a denied state. If you accept, Google and Cloudflare Zaraz may process device and Site-activity information for analytics, advertising measurement, and, where configured, ad personalization. If you decline, optional analytics and advertising storage remains denied. You can also clear or block Site data through your browser settings.
Data Retention
We retain personal information only as long as reasonably necessary for the purposes described above, including providing quotes and event services, maintaining business and transaction records, resolving disputes, enforcing agreements, and meeting tax, accounting, insurance, and other legal obligations. Marketing contact information is kept until you unsubscribe or ask us to remove it. Service providers may retain information according to their own retention policies.
Security
We use reasonable administrative and technical safeguards designed for the nature of the information we process. No website, email system, or method of transmission or storage can be guaranteed to be completely secure.
Your Choices and Privacy Requests
You may decline optional analytics and advertising storage through the consent banner and unsubscribe from marketing using the link in a marketing email. Subject to applicable law, you may also ask to access, correct, delete, or obtain a copy of personal information we hold about you, or opt out of qualifying targeted advertising. Email events@coolbeanscoffeecart.com with the subject "Privacy Request." We may take reasonable steps to verify your identity. If we deny a request and applicable law gives you an appeal right, reply with the subject "Privacy Appeal." You may also contact the Texas Attorney General about applicable Texas privacy rights.
Children's Privacy
The Site is intended for people arranging events and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can review and delete it as appropriate.
Third-Party Links
The Site may link to social networks, publications, venues, payment providers, or other third-party services. Their privacy practices are governed by their own notices, not this Privacy Policy.
Changes to This Policy
We may update this Privacy Policy as our practices, services, or legal obligations change. The effective date above identifies the current version. Material changes will be posted on this page.
